Add an email signature

Give each cold email mailbox and each marketing sender a plain-text or simple HTML signature, with an optional small photo or logo from your image library.

Updated October 27, 2026

A signature is the short block under your email: a name, a title, a link. EterMail has two kinds, and both work the same way:

  • Cold email mailboxes: added under every outreach email that mailbox sends.
  • Marketing senders: added under the content of every campaign and flow email from that sender, above the unsubscribe footer.

Each can be Plain text or HTML. Leave it empty for no signature.

1. Open the signature

  • Mailbox: go to Settings → Outreach settings → Mailboxes, open a mailbox's Sending settings and find Signature.
  • Marketing sender: go to Settings → Marketing settings → Domain & senders, and under Senders click Edit next to the sender.

Only owners and admins can change them. The sender list shows Signature: text, Signature: HTML or No signature for each sender.

2. Plain text

Choose Plain text and type the signature. It's sent as written. Variables work, for example {{ sender.name }} in a mailbox signature or {{ project.name }} in a marketing sender's.

3. HTML, with the quick signature block

Choose HTML. The easiest way is the Quick signature block:

  1. Fill in Name, Title and Website.
  2. Optionally add a Photo or logo: Upload a JPEG, PNG or WebP picture (up to 5 MB), or pick one From image library. It's shown at most 64 px, as a small circle.
  3. Click Use this block. The HTML appears under Signature HTML, and Preview shows how it will look.

You can also edit the Signature HTML directly. Allowed: links (http, https, mailto), bold, italic, line breaks, paragraphs, and one small image from your image library. Anything else is removed when you save, including styles, scripts and images from other websites. A plain-text version is always sent too, for email apps that don't show HTML.

Uploaded pictures are saved in the project's image library and get the same automatic content check. A picture that fails the check can't be used.

Click Save. Emails sent from then on use the new signature.

Keep cold email signatures light

Images and several links in a cold email signature can lower inbox placement. A name, a title and one link is plenty. A mailbox with a plain-text signature sends text-only email; adding an HTML signature makes its emails HTML with a plain-text version.

FAQ

Can I use an image hosted on my own website?

No. Signature images must come from your EterMail image library, so upload the picture there (or with Upload in the signature editor).

No. Marketing email always ends with the footer (why the person gets it, your postal address and the unsubscribe links), and cold email always ends with your postal address and an opt-out line. The signature goes above them.

Can Etta or an AI app change a mailbox signature?

Yes, through the mailbox sending settings, with the same checks as the app. Like every change, it waits for your approval. See Etta.
